Hi Poly, Gravity Forms is capable of accomplishing this task; however, given that you are more of front-end person, it would probably require some developer assistance to get it setup.

Basically, we need to take the database that houses all of this information, http://www.presidentialscholars.org/scholars.asp and allow gravity forms to access it for prepop and hopefully, for updating a scholar (let's say "lead") 's information if they go to the site and find out it's out of date. (they put in SS number, form prepops, they update, click submit) Does this mean I need to be using a CRM in conjunction with gravity forms to make this all work? We would extract the data from the database to replicate, for instance, the http://www.presidentialscholars.org/scholars_year.asp?scholar_year=2009 page.

Sorry, I tend to be more of a front-end person and info architect, not so much the innerworkings of lead management. Any help is extremely appreciated -- I have multiple clients coming up that will need gravity forms, so I hope to be buying many licenses over the next couple of months.

I might be missing a few steps necessary to make this all work.

It sounds like Gravity Forms could handle this if you used it to create posts that are then moderated and published by an administrator. It wouldn't handle the authentication part, that you would have to do via user logins and limiting form access to users that are logged in. You can do this using the Members plugin with adds role management and basic access controls to WordPress.

But Gravity Forms can handle creating the posts, assigning them to a pre-assigned category or allowing the person filling out the form to select which category it goes to.

But as your usage is fairly specific you may need to think through how you would execute this using posts. Gravity Forms just creates the posts themselves, your theme would then need to present those posts so you would have to think through how you would organize them with categories, etc.

Alternatively we may try to find a way to create a database using the old info, that Gravity Forms would just continue to post new and updated info to ... if we could make fields match up and whatnot. That may be how we start the project, instead of hiring data entry people, if it's possible.

Hi there -- a site I am bidding on would like to create a database (hire data-entry people to input info from old site to new site via a Gravity Form) and then have the option later on for people who are in the database (this is for an alumni association) to use a Gravity Form to prepop their existing information and then when they re-submit it, have it update what's in the database.

However, it'd be best if a moderator could approve the info before the database is updated, but we may be able to avoid that by having an alumni sign up for an account ahead of time to authenticate their status.

Then, the information in this database would be output as entries (photo plus questions filled out) based on the year someone chooses to query by when visiting the site.

Does this all sound possible? I know Gravity Forms can prepop but beyond that I am not sure.

Thanks for your time!
