How much is too many Notification emails?

  1. HEY! :)

I have many many notification emails (possibly around 300) I am wondering...can Gravity Forms totally crash with this amount of notification emails?

I am basically using conditional logic for each conditional situation.

  2. How much is too many? If you have to ask you are probably sending too many.

It's not a matter of how many Gravity Forms can handle. It's a matter of how many your web server can handle. If you're using a shared web host? Then you'll probably run into problems.

What I can say is if you need this many Notifications then you are probably going about things the wrong way. That's a lot of notifications. Not just for your web server to have to process every time a form is submitted, but for you to actually maintain when you need to make changes, etc.

What exactly are you doing that requires 300 notifications? If you explain your use case and what you are trying to accomplish we can probably suggest a more efficient way to go about doing what you are trying to do.

I can tell you without even knowing what you are trying to accomplish that creating that many notifications is not the way to do what you want to do.

Provide more details and we'll be glad to make some suggestions on more efficient ways to accomplish what you want to do.

  3. Carl,

Thank you for the prompt response!

Basically, I need conditional logic emails to be sending out different emails depending in what the user inputs.

So if a user chooses "Advanced" for English and "Beginner" for French than he/she receives 47 points (which is what the email says). But for example of a user says he has intermediate of advanced French it's another amount if points.

Additionally, under English AND French there are two categories that must be checked off -- "Speaking" and "Listening".

Also if a person had a spouse -- again there are different points (starting from 57 points).

So, they are all specific situations with different points. (Different notification emails).

And I set the emails to be as "All" selected for when sending out the notification email.

It is Memorial day in the USA, please be patient as support is slower today. As per our side bar - Note: Our forum support hours are Monday through Friday, 9AM to 6PM EDT (UTC/GMT-4). Please allow adequate time for a response to your inquiry. Thank you.

As for your questions, if you have commonalities in your messaging, there might be ways to reduce the number of notifications by adding Conditional shortcodes to some messages, thus reducing down how many notifications you have.

  7. What are conditional shortcodes and how do I do them?

    Thank You!

  9. Ah I see...than what's the point of having different conditional messages if you can have different conditional shortcodes in the message?

    Thank You!

The conditional shortcodes existed before the conditional notifications system, and are a great way to help you manage things, even today. You can use a mix of conditional shortcodes and conditional notifications to make management easier.

  11. Okay Thank You!

Carl and David, do you guys have any other ways that I can go about this?

You would have to give us more details. What is the difference between the various messages? What do all your point values mean? Etc... The more information we get, the better we can serve your needs.

  13. Thank you David!

    Here is the form itself:

    http://www.globalnetworkassociates.com/wordpress/fill-the-form/

We are using the "Number" function of the form -- where we use the "Calculate" function that gives us the sum of the value (depending on what the user inputs).

If someone checks off No for Both English and French it is a value of 0. We then would email the user letting them know that they have 0 points -- and would need X points to Immigrate.

If someone checks off Yes for English and No for French and the user inputs Advanced for English for both Speaking and Listening -- that is a value of 6. The user would then get an email saying they have 6 points.

People need at least 49 points to Immigrate.

If overall - the sum of ALL OF THE VALUES inputed is 48 or lower -- we let them know how many points they need...

hence...automating each conditional situation of the form.

Could you not have a message that says something like the following for those with less than 49:
You received X points and need 49 to immigrate...

And another for those with 49 or over that says:
You received X points and can follow these instructions to immigrate...

  15. Well for the ones that recieve 49 and over -- is exactly that and it's simple.

But for those that don't have enough points we have to let them know. We have to let them know what level of English and French they need. /6 for English, and /16 for French.

    Ie.

User receives 48 points and chooses Advanced for English Speaking and Advanced for English Listening. Additionally this person selected "No" for French...

We tell the person that he/she needs at least 1/16 for French (which adds up to 49).

But what if a person ends up only receiving 36?

We have to let him/her know how many they need in either French or English.

We have to do conditional logic up until at least 33 points with different levels of French and English.

Is it a little clearer to understand?

    Thank you!

Well, I know we won't be able to get you down to just one notification, but I hope there are ways to continue to reduce it down to make it as manageable as possible.

  18. Yeah exactly.

Which is why I'm trying to put like 30 conditional shortcodes in one message.

Is that too many shortcodes for one notification?

No, it can process them fairly fast. All my best!

  20. Alright cool!

I have used the conditional short code and I included MORE THAN 1 conditional feature...and I am wondering if the message can only be sent out if ALL of them are selected. I tested it out -- and it seems as though the message is sent when ANY of them are selected.

Is there a way I can use the option ALL?
    Like this...

Send this notification if ALL of the following match:

    Here is what I pasted:
    [gravityforms action="conditional" merge_tag="{Points::37}" condition="is" value="56"][gravityforms action="conditional" merge_tag="{Do you have a partner / spouse?:17}" condition="is" value="Yes"][gravityforms action="conditional" merge_tag="{French Ability::32}" condition="is" value="No"][gravityforms action="conditional" merge_tag="{Speaking::30}" condition="is" value="Advanced"][gravityforms action="conditional" merge_tag="{Listening::34}" condition="is" value="Advanced"]
    Hello {Name::4},
You have Qualified to Immigrate to Canada, on condition that you have at least 1/16 for French.
    {all_fields}
